Self Reflection On Communication

Introduction

This essay would develop a self reflective analysis of the communication skills that I have imbibed on the basis of the information gathered with the use of five selected diagnostic tools that have been presented in the analysis given below. In the essay, two issues of communication would be drawn for the use of the diagnostic tools. The two issues in communication that I have faced in the development of my personal communication are anxiety of public speaking and lower tolerance level for disagreement. Anxiety of public speaking would mean that I face issues while giving any presentation. The literature review in the essay would focus on key theories related to communication issues. Through this self reflection report I have learned various things and have gained more insight on how to improve my communication skills and reduce the communication issues. Such activities for learning would be reflected in the action plan following the literature review on the communication issues and interpersonal communication. Thus the aim of this self reflective essay is that it would help me to improve my communication skill and help me reduce the issues in communication.

Diagnosis and reflection

I have utilized five diagnostic tools for analyzing my communication in different situations. The first tool that I had used was the Self-Perceived Communication Competence Questionnaire. This tool indicates how an individual can determine its own competence in communicating while they find themselves confronted by various communication situations with plethora of receivers (Ghani and Azhar, 2017). The second that had been used by me was the Personal Report of Communication Apprehension. This tool is very beneficial for analyzing and measuring the feelings during communicating with others by making the individual analyse how they would behave in array of situations (Shi, Brinthaupt and McCree, 2015). Diagnosis and reflection

This tool is very beneficial for analyzing and measuring the feelings during communicating with others by making the individual analyse how they would behave in array of situations (Shi, Brinthaupt and McCree, 2015). Another tool used by me was the Personal Report of Public Speaking Anxiety that has helped me to estimate the level of anxiety in times of public anxiety (Leary, 2013). Willingness to Listen Diagnostic tool is the fourth tool that has been used by me. This tool helps to analyse and examine an individual’s orientation towards to listening to others (Alderson, Brunfaut and Harding, 2014). Lastly, Tolerance for Disagreement is the last tool that has been used by me. This tool provides information to what extent people are ready to tolerate conflicting ideas and disagreements when one considers to be true (Henriques et al. 2013).

The outcome of the prepared questionnaire tool was very accurate and helpful and thus the results have been helpful for me as I have been able to recognize my preference for communication style. As evident from the Self-Perceived Communication Competence, I have become more comfortable while talking to my friends and holding face to face interactions with peers while I am still not at ease while talking in public or among big groups or in meetings. The insight received from the results of Personal Report of Communication Apprehension has further stressed the fact that I am apprehensive of talking in public or for speaking at meetings. My total apprehension score for communication was 70 which had further dipped moderate level of apprehension communication category. The anxiety score for public speaking was 115 which demonstrate the fact that I have moderate anxiety while giving presentation which is similar to the scores received from apprehension report. Furthermore in the next diagnostic tool, Willingness to Listen, I have received 72 score which indicated the fact that my willingness to listen to others is at moderate level. Similarly, the score for the diagnostic tool of tolerance for disagreement was 42 that show my moderate level of tolerance of disagreement. My scores on public speaking anxiety, tolerance to disagreement has been in moderate level thus I needed to improve such areas of communication. It would also be beneficial for my business communication if I can reduce the anxiety level to low from moderate. However, I had always been a person to avoid conflicts and disagreement with others in interpersonal communications and have always tried to be diplomatic to solve issues. However, in most business scenario it becomes inevitable to avoid conflicts more specifically in decision making and it is crucial to find the right way of communication during disagreements.

Reflecting on public speaking anxiety, I would give an example of an incident that happened six months back when I was working as Legal Assistant in a law firm in Australia. I was asked to give presentation to my partner on what measures can be taken for sending claims, responses and pleas to the courts on a specified time and date. I was apprehensive for presenting the findings as all the partners in the meeting are lawyers and have profound knowledge of law. Depending on the previous experience and expectations from the partners I felt added pressure for delivering the presentation accurately. Even after good preparation, I found difficulty in communication.

In the following example exhibiting my tolerance towards disagreement, the incident happened in the same law firm. I was designated a task that I did not belong to my area of knowledge. In order to avoid any conflict with the managers, I did the task on my own. This is the best example showing my behavior for avoiding disagreement with the other parties and managers. I had acquired submissive behavior so that I can avoid any inter personal conflict with the manager. Reflecting on this incident I feel that I should have prepared a solid argument so that the possibility of any conflict could be minimized.

Thus from the above reflection, it can be said that I still have apprehensions from public speaking that needs to be minimized through practicing public speaking. Furthermore since disagreements cannot be avoided in business situations, solid arguments should be prepared so that conflicting ideas can be minimized.

Literature review

Apprehension in communication has been defined by scholars as an anxiety towards unexpected situations in communication with single or group of people. This shows negative association of communication apprehension with communication and thus one would abstain from engaging in voluntary communication. Scholars have identified four different kinds of anxiety such as audience, trait, situation and context (Eysenck, 2014). Some kind of anxiety is internal such as arising from trait that is the lack of knowledge that makes people fear in public speaking but that can be rectified with practice. However the most common type of anxiety arises from audience and situation. Ability to communicate and communication apprehension are conceptually different and are negatively connected. Such association can be turned positive through the improvement in the ability of the individual to overcome anxiety and perform and communicate better in unpleasant situations. In the opinion of Marinho, Mesquita de Medeiros, Gama and Teixeira (2017), it has been established that public speaking is a basic necessity in business interactions. They also researched the fact that the ability to communicate fluently would bring success to professional life of people. In the opinion of Russ (2012), as per his research on communication apprehension it has been realized that the workplace relationships gets affected by the increased level of communication apprehension. He has further stated that managers who have higher level of communication apprehension are more likely to take their own decisions and do not believe in collaborative communication with subordinates. Thus it can be stated on the basis of the research findings of the scholars that the level and intensity of communication apprehension can influence the conduct of an individual and can affect interpersonal relationship at workplace. Thus it is very necessary lower the prevalence of communication apprehension so that its negative implications do not become far reaching.

Significant research on the tolerance towards disagreement has also been conducted by various scholars on communication in the organizational setting. Disagreement is a circumstantial factor in any kind of communication and it occurs when a person does not agree to any of the terms of other person or find their views and ideas to be conflicting. In the opinion of Angour (2012), as identified through his research work on tolerance towards disagreement, it has been established that the background and viewpoints of the participants, their position and role in the company and the communication style of the participants determine the formation or avoidance of disagreement between individuals ate workplace (Horton, Bayerl and Jacobs, 2014). The theoretical grounds of interpersonal communication in relation to conflict and disagreement cannot be designated as ambiguous as there are various factors that determine if there would be conflict or disagreement in a situation or not. There are various interpersonal factors that determine the emergence of conflict or possible disagreement in workplace. Such factors include verbal and non verbal communication; emotions in the communication and the capability to listen (Horton, Bayerl and Jacobs, 2014). These factors are more significant when it comes to business communication. Scholars have identified certain factors that determine the effectiveness of communication at workplace and such factors include expression, confidence, supportiveness, preciseness, argumentativeness and verbal aggressiveness (Knapp, Vangelisti and Caughlin, 2014). It has also been established through research work is that most companies look for managers who possess effective communication skills as the team efficacy depends on the efficiency of the manager to communicate with the team effectively. Scholars are also of the opinion that while communicating, the situation should be kept in mind and the need of the audience should be considered for adjusting the communication style.

For preventing conflict or disagreement, positive non verbal communication is also a necessity. Non verbal immediacy may prove to be working for preventing disagreements. Gestures such as smiling while communicating or nodding head while listening can be counted as positive non verbal gestures (Leathers and Eaves, 2015). Emotion is another component that often affects the emergence of disagreement in interpersonal communication (Leathers and Eaves, 2015). In the process of negotiation in business scenario, if the individuals show signs of worry or disappointment then the other party often adopts the opposing view. Another factor that should be given due consideration in interpersonal communication is one’ ability to listen and to make the other person convinced that you are listening and paying attention to what they are trying to convey (Brownell, 2015). If the other person feels that the individual is not paying attention then that might create a negative impression on the speaker and that would affect the interpersonal communication.

From the above analysis it can thus be asserted that the findings of the researchers have thus pointed towards various factors that should be concentrated upon so that effective communication can be made possible. Apart from the verbal medium of communication, the non verbal communication skills should also be given equal focus. The basic framework of interpersonal communication is very basic and simple and has very few components in the process of interpersonal communication. The two basic components of interpersonal communication are the participants in the communication process: the speaker and the listener. The message is delivered from the speaker to the listener either through direct communication and exchange or through indirect exchange through letters or e-mails.  For direct and face-to-face communication, it is very necessary to put great emphasis on the non-verbal communication elements such as smiling and nodding the head and the body language and the tone and pitch of the voice should also be given due consideration (Siegman, 2014). Only a good listener can be a good speaker and thus as important it is to develop speech habits, listening skills are also required for reducing the barriers to speech (Baker and Warren, 2015). Public speaking can be improved and perfected through practicing public speaking at small group meetings. Tolerance towards disagreement can be increased if the individual is prepared enough to avoid disagreement and if disagreements occur then that needs to be solved through discussion and negotiation. It is also very necessary lower the prevalence of communication apprehension so that its negative implications do not become far reaching for interpersonal communication.

 

Conclusion

After the two communication plans have been identified that require development, I have framed an action plan that would be prevalent for next 6 months for minimizing the issues identified. For proper reflection I have decided to maintain a personal journal so that I can keep a track on my growth and progress. Once the 6 months is completed, the personal journals would be beneficial to reflect upon the areas where I have registered progress and those areas would also be pointed where improvements are still required. This would give basis for future planning for improving communication skills. Moreover I feel that it would be equally necessary to have a mentor who would guide me in the process of my improvement and who would oversee my progress with its expertise. The mentor would also guide me to overcome my public speaking anxiety and help me to build confidence in presenting any presentation to the audience. I would thus hire Mrs. Martha as my mentor in this process who holds a Diploma in Public Speaking and has over 15 years of experience in providing professional coaching for overcoming communication issues. Thus I would take part in this 6 week action plan and thus would seek advice from the mentor to improve my confidence while giving presentations on public platform by reducing my communication apprehension.

Mental practices are often used by the athletes to improve their performance and thus I would also try to integrate such practices in my action plan. Using such practices I would visualize the future situations that would make me anxious and try to build up strategies to reduce the communication apprehension to release the stress. I am also planning to read “Communication Apprehension, Avoidance, and Effectiveness” by Richmond, Wrench and McCroskey (Amazon.com, 2017), for reducing my communication apprehensions. I also plan to take part in the course, “Effective People and Communication Skills” which is conducted by Odyssey Training (Odyssey Training, 2017) which is a course on interpersonal communication course. This course would also help me to make necessary modifications to my communication style that is very necessary in communication. This would help me to improve my effectiveness in the communication fluency in the workplace.  I might also take part in training programs for public speaking so that I can help myself to reduce the public speaking anxiety and also during presenting presentation in meetings.

To conclude it can be said that this essay provides effective insight into the five diagnostic tools for communication that has helped to get information into my communication issues. The two main issues that I have identified in my communication were anxiety of public speaking and low tolerance for disagreement. The two associated theories of interpersonal communication disagreement and communication apprehension were also referred to. The literature review focused on the verbal and non verbal communication, listening and emotions in communication process. The necessity for addressing different kinds of communication apprehension for public speaking was also discussed. An action plan was formed based on the analysis results.
