Introduction

The report reflex about the ability of the organization’s transportation of the goods so that the organization can able to understand the process. Here, the supply of the cartoons has to be performed throughout Australia with the help of proper codes of practice. The management of the organization can use the package weight and dimension to manage the shipping of the goods through a vehicle that can carry the load of the goods and reach the destination as well. Good quality products are the main requirement of customers.

It is very important for the management of the company to keep the client happy and for the DIFOTA is very useful that manage the capability of the company along with the delivery status or issues regarding the delivery as well. The main purpose of the DIFOTA is to deliver the goods on proper time with appropriate guidance accurately so that the clients can be satisfied. In the planning stage, the questions can be asked about the process of the delivery and duration to reach the destination as well.        

Precautions and requirements to minimize or eliminate hazards

Using the proper laws and regulations the hazards from this process can be minimized. Heavy Vehicle National Law and Regulations (HVNL) have to be followed for the delivery through the heavy vehicle which has a mass of over 4.5 tons (Kummerow, 2019, p. 20). Besides that, The Load Restraint Guide 2018 has been provided to the truck drivers of the company so that they can able to understand the rules and regulations of the transport and minimize the hazards in the transportation of the goods for the company. The National Heavy Vehicle Regulator (NHVR) has set different types of laws that have to be followed by the management of the organization or the manager of the response so that the process can be done fluently. Besides that, the following parts also very effective for the control over the process;

  • Route planning for the delivery can identify the risks
  • Therefore, the manager of the Toll can also conduct a risk assessment for the better management of the process
  • The load of the vehicle should be done correctly along with the fatigue management
  • Every employee of the organization has to be familiar with the policies of the organization (Håvold and Oltedal, 2018, p. 70)
  • Monitoring the staff performances along with their job role has to be very clear

Communication with stakeholders

  • The internal communications can be done within the organization to the managers and the higher authorities so that the important parts of the process can be analyzed properly
  • The manager of their Toll transport group can contact to the client through the Email or phone calls so that the communication can be continued between them
  • Besides that, with a specific tracking id of the products and the goods, the communication process can be more secure and effective for the management of the company

Required documentation

Documentation such as an invoice or the packing slip can be used for the delivery of the goods and the products within the company. Besides that, they can also use the run sheet for the drivers of the track so that they can able to understand the proper way and tracking details for the delivery of the goods. Fatigue management of the organization along with the logbook can be very effective for the delivery of the products and the management of the process of the delivery of the cartoons. The manager prefers to use the consignment notes as well so that they can manage the entire activities of every employee and staff for the delivery of the product on time to the clients (Zull et al. 2017, p. 17). Uses of Document Management System (DMS) software can also be very effective for the better management of the documentation of the company. This can reduce the manpower and the workload over the manager and the efficiency of the works can be much made properly.  

Risks and contingency plan

There can be some risks in transportation for the given topic such as;

  • Over dependent on the third party suppliers of the goods can be hampered for the growth of the transportation
  • Moreover, the delivery of the goods can be delayed due to the irresponsible behavior of the suppliers of the company
  • Threat from the competition can be very risky and that can decrease the growth of the organization
  • Tax issues can become in front of the company for that the delivery of the products cannot be done properly to the clients

Therefore, the management of the company needs to apply the contingency plan within the organization so that the issues of the organization can be minimized (Douglas et al. 2017, p. 11). The contingency plan according to the rules and regulations of the government helps the organization to move the activities of the transportation forward and that has to be there for the successful delivery of those cartoons. Moreover, it helps the manager or the organization to take quick actions against the problems and that can be very effective for the production of the goods along with many other internal factors ort the organization.

Prioritize work activities

The management of the company needs to give priority to the important parts of the company so that the process of delivering the goods can be easy. Eisenhower’s decision matrix is very essential for the time management of the activities within an organization (Patterson, 2016, p. 489). Besides that, it helps the manager to decide the priority zone of the organization. A to-do list can be set up for maintaining the schedule along with the effective productivity strategies that should be implemented so that the growth of the product rate increased. The manager needs to make a daily action plan for the staff and employees so that they can able to understand the progress of the work. It is very important to be ensured about the resources and uses of technology that can be applied for more accurate work.   

Required resources

Among the resources of the organization to fulfill the criteria of the clients, the manager of the organization needs to conduct a need assessment so that the manager or the company can aware of the needs of a community and use these factors for the better production of the company. The manager needs to apply six important factors for the condition of the need assessments (Marcus and Rosekind, 2017, p. 238). They are;

  • Brainstorming
  • Documentations
  • Data collection
  • Analysis of the data
  • Dissemination

The manager needs to observe the training process of the staff; equipment’s of the production, fright management system and many other important parts so that every part can be done properly. FMS can be used for the calculation of the load dimension of the goods along with the printing of notes with RF scanners.

Ensuring employees work practices

Therefore, it is suggested to opt for Standard Operating Procedures, which helps to ensure employees are following the work process within needed steps. It prepares a business for long-term goals, which also includes expanding business activities to make the established work processes portable. Even so, newly recruited employees can uphold the business reputation the same. It is known that management-related tasks can be complex, so SOP can simplify its procedure along with its performance (Phillips et al. 2017, p. 766). The business can implement SOP by mapping out linear checklists that include indulging stakeholders, mapping flow diagrams and such. However, two types of training come under SOPs, such as

  • Internal

This type of training only can be conducted within the organization context by the office faculty, where it is also divided into four parts that are induction, technical, on-the-job, and refresher.

  • External

On the other hand, this one should be conducted by faculties from outside of the organization or a person who belongs to another site. However, it can only be conducted if it concerned with HOD quality assurance.

SOP also helps to identify PDCA needs, which refers to planning that runs into a continuous plan, doing, checking and acting. It helps to provide an effective approach for critical problems and controlling changes, which can be useful to test and measure improvements. It leads to the monitoring process, which can be drawn from the Key performance indicator and the key result area (Brunton, 2018, p. 141).       

Conclusion

The above report shows that the delivery of the cartoons to the clients has gone through some crucial parts of the organization that has a major impact on the organization for the management of the workload of transport. Required precautions and communications with the stakeholders are very crucial for the successful transport of the goods to the clients. Therefore, it can be said that there are some risks as well that should be covered by the skilled manager. Only establishing policies and procedures may not be enough to run a business effectively, where it is as important as implementing ethical work practices to follow them.
