Project Management Methodologies

  1. Introduction

The role of a manager is to use a project to achieve business goals which should be scheduled and a budgeted plan. From the very early stage, the managers must use the management methodologies which will be helpful in every stage of the project as well as in the business implementation. Methodologies are mainly used for the purpose of project planning, design, implementations and achievement of their business. In a nutshell, the managers are highly benefited by these project methodologies. Different companies use different methodologies to implement their business. Hence, there are several types of methodologies of different projects applicable to specific business domain (McHugh & Hogan, 2011).

The management methodologies can be tool specific or software-oriented which plays a vital role to accomplish the expectation of a business project. As per Parker (2013), this makes a project easier to implement as well as makes efficient team collaboration and better organisation. Thus, every project must recognize their suitable methods and must be familiar with some common methodologies.

  1. Learning Outcome 1: Explain reasons why organisations adopt Project Management Methodologies

Summary

It is very difficult to run a project without adopting some management methodologies. It is like journey to an unknown destination without a roadmap. For the management training, selection of methodologies will be beneficial for implementation of a project. All projects are nor same and have temporary, unique and unpredictable endeavor and that projects cannot be well managed without the help of the methodologies. The projects also suffer without risk management, progress monitoring, effective planning and communication strategies (Svejvig & Andersen, 2015). These all are incorporated in the project methodologies. That's why; the organisations should adopt methodologies as per their project requirements because the project is an important factor for an organisational change like production management, financial management, and team management.

Not only the managers but also the employees and management teams are benefited by these methodologies (Hornstein, 2015). The consistency of approach, sharing the learning methods, the team members gets benefited as well as they can clearly understand the senior management situation and the sponsoring role of the management. New skills, performance, different techniques, processes and templates for the projects are invented day by day. Project scope is maintained, and an effective way becomes helpful to manage the project, as well as the cost and time, can also be reduced by adopting suitable and appropriate methodologies. Moreover, whether the project is deliverable or not to the client, can be managed by the methodology tools. It is also helpful in solving the problem in an innovative and better way and in identifying the struggling projects as well as a motivated and skilled team is generated.

Evidence

The Australian companies mainly adopt the project management methodology tool named ‘PRINCE2'. It helps the project to run in a manageable and controllable manner. Also, the training session is available in these methodologies in many languages which will be better for the business management system (Fleming & Koppelman, 2016). This method delivers proper business justification, mode of experience, roles and responsibilities, production, the suitable project environment, every stage management and many more. It also defines the different ways to implement individual stages of the project and the work pattern is also distributed. This PRINCE2 methodology tool has some associated templates like business case, beneficial review plan, communication management, item recording, checkpoint report, end project report, issue registration, quality registration, risk registration and management strategy.

  1. Learning Outcome 2: Critically analyse the impact of Project Management Methodologies upon stakeholders

Summary

Stakeholders are either supporter or resistor of a project as well as impacted by the business project. The role of project management stakeholders is to analyse the influence, expectations as well as development and work strategies of the stakeholders. It is very crucial to involve any stakeholder in the project in decision making and activities. The role of the stakeholders is directly proportional to the effectiveness of the project management. As per Campbell (2017), enterprise environment, procurement documents, organisational process and project charter related to the project are the vital responsibilities of stakeholders (Bredillet, Tywoniak & Dwivedul (2015).. The analysis is required to examine the need of stakeholders for the project. Stakeholders are not directly impacted by the project management and as a result, the manager of the organisation must analyse the stakeholder engagement procedure. The methods of analysing the stakeholders are as follows:

Power vs. interest analysis

It is the process to determine the stakeholders of the project, the interests of the stakeholders, power of stakeholders (Turner, 2016). The role of project manager is to consult with the stakeholders and to inform them about the changes and progress of the project and the related issues.

Influence-impact analysis

The involvement of the stakeholders in decision making can be evaluated by this type of analysis. The impact analysis is for determination of the ability of the stakeholders how they can improve the project.

Power-influence analysis

The activity of the stakeholders is discussed here.

Importance-influence analysis

In this analysis method, the importance of the interest of the stakeholders is included in association with the need of the individual stakeholders (Kerzner & Kerzner, 2017). This analysis needs to be managed closely.

Salience model

It a 3-D model where the interconnection among urgency, legitimacy, and power can be discussed briefly (Schwalbe, 2015). These three factors define the rightfulness involvement of the stakeholders. The project manager is responsible for the urgency factor which describes the stakeholder requirement as per the project.

Evidence

Stakeholders can be affected by decision and consequences of the organisation. It includes the managers, board members, suppliers, customers and employees for the purpose of defining the relationship between the stakeholders and the project management. For example, the Wesfarmers limited, an Australian conglomerate company has implemented their business plan and well defined the role of stakeholders and the impact on the project management. The organisation makes decisions and appoints stakeholders as per their requirement and the management team looks after the employee sustainability, outputs, organisational reputation, and control system of the project. The project management team of Wesfarmers organisation gathers information about the stakeholders about their availability, activity, power, and interest in the project work such that the business becomes successful and the management system is developed to some extent. Thus the management team's responsibility is to engage and choose the stakeholders by a brief analysis.

  1. Learning outcome 3: Explain and justify the major elements of a Project Management Methodology that might meet the needs of an organisation

Summary

Choice of suitable project methodology in a project management system of any organisation is the vital step for the organisational success. However, it is necessary to approach  best methodology to overcome the complexities of the project, overlapping tendency and other issue creating factors among several methodologies. In this case, the managers can easily implement more effective ways to reduce risk and to improve the projects. They must have the capability of creating a positive impact on the organisation and managing power to make their organisational business successful. The best methodology and way should be evaluated for the betterment of the project (Turner, 2016). The managers should reduce the timing and cost of the organisational development. The three core components of the project management are:

People

In order to manage the projects, the soft skill of people is very important to be engaged in the project work. The skill can develop, manage and cooperate the total procedure and lastly, a fruitful outcome may be generated by introducing the people’s skill.

Process

These are the methods of managing the business project. The methods may be of several types. Some examples are PMBOK, Prince2 and many more. These methods or processes are used to manage any project work.

Technology

Technology is useful for managing cost, risk, reporting, scheduling, and graphics. These are mainly the software gadgets which are used to implement and improve the project.

The other elements of project management which can also influence the organisational structure and business project are as follows:

  • Tools
  • Training
  • Books
  • Certifications
  • Conferences
  • New idea or point of view and others.

These are not primary elements but may help in this project management purpose.

Evidence

The evidence regarding this topic can be discussed for any specific organisation. Here, for example, Australian Red Cross, a non-government healthcare organisation, is under consideration to view this topic.  They are now trying to make their organisation digitized and the manager is responsible for this process. In order to hold their reputation, they follow some master keys. They are:

Communication

Great communication and understanding between the project manager and client have an impact on the project management system.

Leadership

Leader skill is also an essential factor to improve the quality of the project management. This also helps the team members of the management to become motivated and inspired.

The others factors are:

  • Planning skills
  • Risk management
  • Time management
  • Negotiation skills

Some factors may be considered to select the best one methodology. The project management methodologies need to have their own strength and weakness to carry out the project smoothly. A suitable project manager must be engaged for the sake of business development that has the ability to manage the organisational management as well as to make a decision about the project construction.
